QuickBooks vs Wave in 2026

Wave wins year one if you will actually reconcile. QuickBooks wins the week a US CPA asks for a file they already know how to open.

Verdict

Pick Wave if you are a new US freelancer or single-member LLC, will categorize weekly, and do not yet have a CPA demanding QuickBooks. Pick QuickBooks Online if inventory, a bookkeeper, payroll journals, or a US accountant who only logs into Intuit is already the constraint. Do not stay on Wave to “save $38” while paying someone $150/hour to reconstruct a year. Do not buy QBO Advanced to look like a brand.

Public pricing as of September 20, 2026

Wave: starter invoicing and basic books are $0. Pro is $19/month or $190/year. Card payments use Wave’s published processing rates (commonly cited around 2.9% + $0.60 — confirm live). Confirm waveapps.com/pricing. The software can be free. Processing is not.

QuickBooks Online: Simple Start $38/month; Essentials $85; Plus $140; Advanced $340 on Intuit’s public pricing page. 50% off three-month intros appear.   • QBO Simple Start at list: $38 × 12 = $456/year before promos.
  • QBO Plus at list: $140 × 12 = $1,680/year — the ecommerce and inventory plan.
  • A $10,000 card invoice on Wave-class processing can cost more than years of Simple Start. Offer ACH.

Starter file vs CPA file

Wave’s job is a bank feed and invoices you will actually open. It ranks on our bookkeeping, invoicing, and receipt pages for year-one shops. It is not a SKU ledger. Ecommerce sellers who dump Shopify payouts into Wave as income will lie to themselves. That close belongs in QBO Plus or Xero plus a connector — see ecommerce accounting.

QuickBooks Online’s job is a file the US accountant network already knows. Switching later costs more than the subscription. Simple Start is thin for inventory and bills. Essentials adds bills and more users. Plus is where classes, projects, and inventory start to look like a real close. Advanced is for a controller, not a photographer with four weddings.

Xero is the third fork if the advisor is already there — unlimited users, US Early $25 / Growing $55 / Established $90 as of this review, stepping to $27 / $59 / $97 on October 1, 2026. Who should pick which

  • Year-one freelancer, no CPA yet, will categorize weekly: Wave Starter.
  • Clients ghost invoices and books are secondary: FreshBooks, not this fork.
  • CPA already in QBO: Simple Start or Essentials now; Plus when inventory or classes appear.
  • Shopify or Amazon with SKUs: QBO Plus (or Xero) plus A2X/Synder. Not Wave.
  • Photographer with a studio CRM: keep HoneyBook for AR; Wave or QBO next door for the file.
  • You will not categorize: Bench, not a free ledger you abandon.
