The solopreneur-to-first-hire ops stack (2026)

The first hire is not a new personality. Keep the ledger if you rec. Replace Venmo, add a payday that files, and stop sharing one login.

The rule

This is the before-and-after kit for a US solopreneur who is about to run a first W-2. First-hire stack is what to buy in a vacuum. First employee onboarding checklist is the week-of list. First-month costs after hiring is the budget. This page is the migration: what survives from the solo stack and what becomes a liability. We will not rank AI hiring agents. Aiacent. We are not your accountant.

Keep

  • A business-named checking account if you already have one. If you do not, stop and open it. Found vs Novo, Mercury, or a branch. How to separate personal and business finances if you are still mixed.
  • The ledger if you actually rec: Wave $0, QBO $38+, Xero $25+. The first W-2 is when Wave often dies — not because Wave cannot hold payroll journal entries, but because a US CPA asked for QBO. If your CPA is fine with Wave, keep it.
  • The CRM if the hire is not a seller who needs a board. HubSpot Free can stay. HoneyBook can stay for a studio. Do not buy Pipedrive the same week as Gusto unless the leak is pipeline.
  • The invoice rail if clients already pay it. Point payroll at the operating account, not a new processor.

Replace

  • Personal Venmo, Cash App, and “pay me on the personal Zelle” as the company. How to accept payments as a new LLC if you never finished that.
  • Paying yourself by leftover balance. The hire will see a payday. You should too if you are a W-2 or S-corp salary. Ask a CPA.
  • One-login everything. The new person needs their own Gusto, email, and CRM seat. Sharing the founder password is how you get a messy offboarding.
  • A spreadsheet timesheet if they are hourly. Homebase, the POS, or Deputy. Time clocks ranking exists.

Add

  • Payroll that files: Gusto Simple $49 + $6, OnPay $49 + $6, Square Payroll $35 + $6 if the register is Square, Workforce if QBO already owns you. How to choose payroll for your first employee is the process.
  • Workers’ comp where required. Software will not buy it.
  • A tax and payroll bucket (Relay Grow around $30, or a second account) so the debit is not a surprise.

Solo stack you might already have: Wave $0, Found or Novo $0, HubSpot Free $0, FreshBooks $23, Square Free processing. First-hire add: Gusto $55/month for one person, or Square Payroll $41, or OnPay $55. QBO Simple Start $38 if the CPA just appeared. Relay Grow ~$30 if you will envelope. Skip-ifs

  • Rippling or a PEO for one hire unless benefits access is the reason.
  • An ATS. Use email.
  • HubSpot Professional or Pipedrive Ultimate to look like a team.
  • AI interview tools as a buying criterion. Aiacent.
  • Switching banks the week of the first payday.
  • Keeping the hire off payroll “until we see if it works.”
