The photographer ops stack (2026)

A studio’s ops stack is a proposal, a retainer, and a file a CPA will open. Culling software is not this website.

The rule

This is an operations stack for a US wedding, portrait, or small commercial photographer — one shooter, maybe a second, not a 40-person production company. It is not a gear list and it is not an editing list. We will not rank AI culling, generative retouching, or caption tools. That catalog is Aiacent. If the leak is the photographs, leave. If the leak is a DM with no contract and a Venmo with no books, stay.

The default stack

  • Client file: HoneyBook Essentials at $49/month if you need the scheduler and QuickBooks Online. Starter at $29 if proposals, contracts, and invoices are enough. Dubsado Premier at $525/year if you will build workflows. See photographer CRM and Is HoneyBook worth it.
  • Books: Wave at $0 in year one if you will reconcile every payout. QuickBooks Online Simple Start at $38, or Xero Growing at $55, when a CPA asks for a file. HoneyBook is not the ledger.
  • Payments: take the retainer in the client tool. HoneyBook cards start at 2.7% + 10¢; ACH is 1.5%. Do not also invent a Stripe account for the same wedding.
  • Banking: a business-named checking account before the first $3,000 retainer. Mercury or Relay at $0 monthly if you do not take cash. A branch if you do. See freelancer banking.
  • Payroll: nothing, until a second shooter is a W-2. Then Gusto, not a Venmo. Classification is counsel. See best payroll for small business.
  • Tasks: the HoneyBook project, or a Notion page for shot lists. Do not buy Asana’s two-seat Starter to feel like a studio. See freelance project management.

The client file

One record should hold the inquiry, the date, the package, the contract, and the payment schedule. That is why HoneyBook and Dubsado outrank a generic CRM for this job, and why photographer invoicing is a sibling page rather than a different stack. Wedding-planner ops is the cousin if you plan the day and do not shoot it. Appointment scheduling is enough only if you sell a headshot slot and never a package.

Essentials is the HoneyBook plan that syncs QuickBooks Online. If the bookkeeper will not log into HoneyBook — most will not — turn the sync on instead of exporting a spreadsheet in January. Premium at $109 is for a team and a second brand. A solo photographer who wants “unlimited team members” for a weekend second shooter is shopping the wrong SKU. Pay the second shooter as a contractor or an employee in a payroll product, with a classification you can defend.

Money

As of September 22, 2026: HoneyBook Starter $29, Essentials $49, Premium $109. An $8,000 collection on a card at 2.7% + 10¢ is $216.10. The same payment by ACH at 1.5% is $120. Dubsado Premier is $525/year on the public annual table. QBO Simple Start is $38; Xero Growing is $55 until October 1, 2026, then $59. Wave is $0. Open the business account before the client’s wire hits a personal checking account. Sub-accounts or a savings bucket for sales tax and for the money you owe a second shooter stop you from spending a retainer on a lens. What to skip

  • A second CRM “for Instagram leads.” Forward the lead into the client file or you will forget the contract.
  • AI culling, generative albums, and caption tools as a buying criterion. Aiacent.
  • Rippling, a PEO, or BambooHR for one assistant. Payday is Gusto when there is a W-2. Not before.
  • Personal Venmo as the retainer desk and the operating account.
  • Asana, monday.com, and a full agency PM stack. You do not have an account team.
  • Buying Premium, Established, and a new website in the same month you missed four inquiries.
