How to choose email software for a local business (2026)

Pick the list you will actually send. A marketing cloud and an AI copy desk are how a Saturday promo becomes a project.

The job

Local-business email has one job: a permissioned list, a template that looks like the shop, and a send someone will press. Restaurants, retailers, studios, and contractors under ~50 people do not need a lifecycle map or a seat of Professional marketing automation. They need a from-address on their own domain and a reason the customer opted in.

This is a process guide, not a ranking. Best email tools for local businesses is the short list. Mailchimp vs Constant Contact is the fork most owners are actually stuck on. We are not ranking generative subject-line tools. If the leak is the words, that catalog is Aiacent. If the leak is that nobody sends the email, stay here.

Before you shop

  • Who hits send. If that person will call support, Constant Contact’s motion matters more than a feature grid.
  • How many contacts you will have in December, not today. Tiers jump. Write the number down.
  • Where the audience already lives. A Square or Shopify shop drifts toward Mailchimp. A HubSpot pipeline should not grow a second list.
  • Whether you send four times a year or every week. Pay-as-you-go and free caps fit the first. Automation fits the second.
  • A domain you control. Authentication is the setup, not an upgrade.

The forks

  • Under 250 contacts, you will send it yourself: Mailchimp Free. Send caps apply. Do not upgrade because a trial of Standard looks busy.
  • You want a phone number and the email is tied to events: Constant Contact. Open the live calculator. We will not freeze a contact-grid the page hides.
  • You want a larger free send and maybe a receipt email from the same vendor: Brevo’s Free plan, up to 300 emails a day after approval on the FAQ we read. Approval takes time. Confirm brevo.com/pricing/.
  • The shop already tracks jobs or estimates in HubSpot: send from HubSpot’s free CRM until the list is a real marketing job. Starter Customer Platform lists at $20/seat. Professional is an onboarding invoice.
  • You are an online store with flows, browse abandonment, and a catalog: stop. This guide is Main Street. Do not buy a local ESP to imitate a lifecycle product, and do not buy an AI writer to imitate a list.

SMS, WhatsApp, and “AI campaigns” show up as add-ons on all of these cards. Credits expire. Leave them off the first decision. A shop that cannot send a Thursday email will not run a text program.

Mistakes

  • Buying the annual plan on a contact count you will double at the holidays. Check the next band.
  • Importing a purchased or scraped list. The tool will not save your domain reputation.
  • Two owners and no one assigned to send. Software does not fix that.
  • Switching from Mailchimp to Constant Contact for a three-dollar story you cannot see on both screens at once.
  • Letting a POS vendor’s “free email” become a second database you forget to export.

Pick this week

Export or type the list you are allowed to email. Authenticate the domain. Send one plain message to yourself and to two customers who asked for it. If that works on Mailchimp Free, you are done until the cap binds. If the sender needs a human, price Constant Contact from the calculator and ignore the postcard. If the contacts already live in a CRM, do not add a tool — send from the CRM. Revisit the ranking when you hire someone whose job is campaigns. Until then, the scoreboard is whether the email went out.
