How to choose payroll software for your first employee (2026)

The first W-2 is a filing product and a bank debit, not an HRIS bake-off. Pick a published bill you will finish on a Tuesday night.

The job

First-employee payroll has one job: withhold, deposit, file, and produce a W-2 next January. Benefits, PTO, and a handbook can wait until Friday actually works. You do not need Rippling because a Slack thread said “system of record.” You do not need ADP because a board member “has always used them.” You need a product a founder can finish without a sales cycle — unless a broker already holds your 401(k) and the quote is in writing.

This is a process guide, not a ranking. The short list lives on best payroll software for small business. First-hire stack is the rest of the pile (bank, ledger, workers’ comp). Restaurants, salons, dentists, gyms, and retail have their own skip-ifs — use those pages if the floor is hourly and tipped.

Before you shop

  • EIN in the entity name. Payroll will not invent one.
  • A business-named bank account payroll can debit. Not the founder’s checking. See LLC banking and mistakes when picking business banking.
  • Workers’ compensation where your state requires it before the first day. Software will not buy the policy.
  • A classification decision: W-2 vs 1099. That is counsel, not a Gusto toggle. Contractor Only is a SKU, not a legal opinion.
  • One work state or two. Gusto Simple is single-state. A second state is a plan conversation or OnPay’s included-filings story.

The September 21, 2026 napkin

Gusto Simple is $49 + $6 per person. One employee, one state: $55/month. Five people: $79. Ten: $109. Plus is $80 + $12 when a second state appears. Contractor Only is $35 + $6. Confirm gusto.com/product/pricing.

Square Payroll is $35 + $6 per person paid that month if the register is already Square. OnPay publishes $49 + $6 with multi-state included on their card — see Gusto vs OnPay. QuickBooks Workforce is $50 + $7 (and up the ladder) plus a QBO subscription — see Gusto vs QuickBooks payroll. Paychex and ADP RUN are quotes. Rippling is a quote plus a project. If a vendor will not beat $55–$109 in writing after implementation and year two, you do not have a reason to leave a published bill.

The forks

  • One state, first W-2, want a napkin: Gusto Simple. See Is Gusto worth it.

  • Two states on day one: OnPay or Gusto Plus. Model both.
  • Books already QBO and you refuse a second vendor: Workforce. Still model Gusto. You are paying two Intuit bills.

  • You need a PEO: Justworks or a PEO conversation. That is a different contract.

Mistakes we see

  • Buying Premium or an HCM “to grow into it.” You can upgrade. You cannot un-pay year one.
  • Switching mid-quarter because a webinar ranked a logo. Cut over on a planned payday.
  • Treating 1099 as cheaper payroll. Misclassification is the expensive product.
  • Skipping workers’ comp because the software did not mention it.
  • Running the first salary as a “draw” from personal checking. That is how you buy a reconstruction.
  • Ignoring SUI, local taxes, and new-hire reports because the demo was pretty.

Pick this week

If you have an EIN, a business account, and one state: open Gusto Simple today unless Square already holds the hours. Add the employee, run a test, and put the debit on a dedicated account or Relay envelope. Then read payroll-tax mistakes for new employers so you do not skip deposits. If you do not have the bank account yet, stop shopping payroll and open one. Software cannot file a debit that does not exist.
