Best client portal software for agencies (2026)

A portal is where the client sees the work and pays. A Google Drive folder named “CLIENT FINAL” is not a portal.

Agency client portals fail when files live in email and invoices live in another tab. The job is: one place for the client to see status, approve, and pay. This is not a generative AI “client OS.” Craft tools stay on Aiacent.

HoneyBook and Dubsado are client-flow suites. FreshBooks is an invoice portal. Teamwork is PM with a client seat. Pick the job.

Prices as of September 20, 2026. FreshBooks is published. HoneyBook and Dubsado should be confirmed on their live cards — we refuse frozen promo stickers we cannot re-check.

Agencies and studios that sell via proposals, contracts, and scheduled work

8.3 / 10

Skip if

You only need a PDF invoice into QBO. HoneyBook is a client-flow product, not a CPA’s file.

Why it ranks

  • Proposal, contract, invoice, and scheduler share a client view.
  • Reduces the Docs + Sign + Calendar + Stripe dance.
  • Looks like a studio, not an accounting package.
  • Wins when booking work is the leak.

Watch-outs

  • Your CPA may still want QBO or Xero.
  • Double-entry if you keep a serious ledger.
  • Overkill for a shop that only sends monthly retainers from FreshBooks.
  • Read payment fees.

Dubsado

Process-heavy studios that will build workflows once and reuse them

8.0 / 10

Public pricing: Public plans have long listed a lower monthly tier around $35/month or ~$335/year and a higher “Premier” tier. Confirm dubsado.com/pricing — packaging moves.

Nobody will admin forms and automations. Dubsado rewards setup. HoneyBook will feel friendlier on day one.

Why it ranks

  • Workflows, contracts, and a branded portal are the product.
  • Good for photographers-turned-agencies who already think in pipelines.
  • You own more template control than a rigid invoice tool.
  • A defined alternative when HoneyBook feels too opinionated.

Watch-outs

  • Setup time is the price besides the subscription.
  • Not a deep ledger.
  • Client experience is as good as the templates you build.
  • Migration from HoneyBook is a project.

03

FreshBooks

Agencies that need a client invoice portal, not a full CRM-for-creatives

7.8 / 10

Public pricing: Lite $23/mo (5 clients); Plus $43 (50); Premium $70 unlimited. Team $11/person.

The portal has to hold creative reviews and contracts. FreshBooks is AR.

Why it ranks

  • The client sees the bill, the time, and the status of payment.
  • Published prices. You can model retainers.
  • Late reminders are the agency AR job.
  • Pairs with Asana instead of replacing it.

Watch-outs

  • Lite’s five-client cap is not an agency plan.
  • Not a project board.
  • Shallower books than QBO.
  • Payments add-on extra.

04

Teamwork

Shops that want the client inside the project, not a separate billing portal

7.6 / 10

Public pricing: Free $0 (5 users / 5 projects). Basics $9.99/user/month annual (min 3). Accelerate $24.99 (min 5).

Teamwork.com pricing, reviewed September 20, 2026.

You already have Asana plus FreshBooks and they work. Do not migrate PM to get a client login.

Why it ranks

  • Clients see tasks and files on the job they are paying for.
  • Time and invoices can sit on Accelerate.
  • Better when delivery visibility is the complaint, not the proposal.
  • HubSpot/QBO hooks keep it in the ops stack.

Watch-outs

  • Seat minimums.
  • Clients as users still need a permission rule.
  • Heavier than a HoneyBook booking flow.
  • Optimize is quote-only.

How we picked

The job is an agency-facing client home: files, approvals, pay. We scored published prices, whether the product is flow vs invoice vs PM, and setup friction. Copilot and custom portals are fine at scale; this list stays short.
