Best help desk software for small teams (2026)

A shared inbox the whole team can see. A chatbot is not the buying criterion, and a CRM is a different login.

Small-team support fails when three people answer the same Gmail thread and nobody knows who owns the refund. The job is a shared inbox: one queue, an owner, a reply the customer can find later, and a help doc if the question repeats. This page is for US companies under ~50 — a SaaS with a founder still on support, a Shopify brand, a local company that has outgrown info@.

Help Scout wins when you want a human inbox and a free plan that is actually usable. Freshdesk wins on a lower annual seat if you will ignore the AI meter. Gorgias wins when the conversation is a Shopify order and you would rather pay for tickets than seats. Zendesk wins when you already know you want the suite and will pay for it on purpose.

Email marketing is a different list. The CRM is the pipeline. The business phone is the number. We are not ranking autonomous agents. Help Scout, Freshdesk, Gorgias, and Zendesk all sell AI add-ons. Those comparisons belong on Aiacent. Buying a help desk to get a bot is how a three-person team gets a usage bill.

Skip if

You are a Shopify brand drowning in order questions. Gorgias is built on that object. Or you need a phone tree inside the same suite — Zendesk Suite is the heavier yes.

Why it ranks

  • Free is enough to stop sharing a Gmail password. Five users and one inbox covers a real tiny team.
  • Docs sit next to the inbox. Repeat questions get an article instead of a fourth hire.
  • Per-user pricing is boring in a good way. You can multiply.
  • Chat, SMS, and social show up on Standard. You do not need Pro to leave email-only.

Watch-outs

  • Free caps contacts at 100 a month. A launch will push you to Standard.
  • AI Answers at $0.75 is optional. Cap it or leave it off. It is not the rank.
  • Pro at $75 is SSO, HIPAA, and a success manager. A five-person shop does not need it.
  • It will not become your CRM. Link the customer. Do not migrate the pipeline.

You will turn on Freddy sessions and copilot seats without reading the meter. The help desk can be $19. The AI line is extra. Or you want Gorgias’s order sidebar and you are already on Shopify.

Why it ranks

  • Growth at $19 annual is a shared inbox, portal, and knowledge base without a suite tax.
  • You can see the AI prices instead of discovering them in a usage invoice you do not understand. They are still easy to overbuy.
  • A familiar ticket model if someone on the team has used a help desk before.
  • Day passes exist if a founder only jumps in on bad weeks.

Watch-outs

  • There is no durable free plan on the card. The trial ends.
  • Pro at $55 is where a lot of “we might need it” features live. Stay on Growth until the queue hurts.
  • Copilot at $29 per agent can exceed the seat. Do not add it by default.
  • Ecommerce order context is not the product. You will bolt it on.

Skip if

You do not sell online. A services company will pay ticket prices for a tool aimed at shoppers. Help Scout or Freshdesk. Or your volume is 40 emails a month — Starter exists, and it may still be more software than you need.

Why it ranks

  • The ticket is a shopper conversation with the order nearby. That is the ecommerce support job.
  • You are not punished for adding a seasonal hire the way a per-seat desk punishes you.
  • Starter at $10 is a real test if volume is tiny.
  • Shopify is the assumption. Use that, or do not use this.

Watch-outs

  • 300 tickets at $60 is fine until a product issue blows the month. Overage is the second price.
  • AI resolutions can be billed next to helpdesk tickets. Read whether a conversation counts twice before you enable the agent.
  • Voice and SMS are add-ons. The headline plan is not a phone system.
  • A services firm will not grow into this. Switch products, do not force it.

You are three people in Gmail. Help Scout Free or Freshdesk Growth will cost less and ship sooner. Suite Enterprise is a sales call. Do not start there.

Why it ranks

  • Support Team at $19 yearly is an honest email queue if you refuse the suite.
  • Suite Team is the plan that actually replaces a shared inbox plus a separate chat tool.
  • The brand is hireable. The next support lead has seen it.
  • A deliberate later step when Help Scout’s channels are no longer enough.

Watch-outs

  • The trial drops you into Suite Professional. That is not the plan a five-person company should accidentally keep.
  • Suite Team at $55 is almost 3× Support Team. Buy it because you need chat or voice.
  • AI agents are included in the marketing and priced on outcomes. Cap them.
  • Implementation folklore is earned. Keep the first month to one channel.

How we picked

The job is a US team that has outgrown a shared mailbox and is not ready for a contact-center contract. We scored whether a founder can see the price, whether ecommerce context is included or irrelevant, and whether AI is a meter on top of the seat. Intercom-style product chat and full CCaaS stay off this short list.

September 23 napkin for three agents: Help Scout Standard is 3 × $25 = $75 if that card is the monthly figure you confirm. Freshdesk Growth annual is 3 × $19 = $57 before any AI sessions past 500. Zendesk Support Team yearly is 3 × $19 = $57, and Suite Team is 3 × $55 = $165. Gorgias Basic is $60 for 300 tickets no matter that you have three people — cheaper if volume is low, worse if a recall creates 2,000 tickets (Pro at $360 monthly).
