Best invoicing tools for freelancers (2026)
The job is getting paid. Reminders, deposits, and a client-facing invoice beat a general ledger with an invoice tab.

Freelancers do not have an AR department. An invoicing tool has to send a clean bill, take a card or ACH, nudge late clients, and keep you from rebuilding the year in Gmail. Accounting can come second. Getting paid comes first.
We ranked five products a US freelancer can adopt this week. FreshBooks wins the client-facing job. Wave wins the $0 job. HoneyBook wins when the invoice is part of a proposal and a scheduler. Stripe wins when you already run on Stripe. QuickBooks wins when the invoice must live in the same file as the books.
Payment processing fees matter as much as the monthly subscription. Card rates around 2.9% + $0.30 are common; ACH is usually cheaper. We cite public list prices as of September 20, 2026 and tell you to read the live payments page before you send a $20,000 invoice.

You only need two invoices a month and can live with Wave, or your accountant has already standardized on QuickBooks.
Why it ranks
- Invoices, estimates, retainers, deposits, and late fees are the product — not an add-on tab.
- Client caps make the plan choice honest.
- Time tracking and project billing sit next to the invoice, which is how consultants actually work.
- Client portal and branded emails reduce the “did you get my PDF?” loop.
Watch-outs
- Lite’s five-client cap arrives faster than people expect.
- Card processing is extra in the way all invoice tools are extra. Read the payments add-on.
- It is not the deepest general ledger in this set.
- Promotional first months expire. Budget $23–$70.

- Unlimited invoices on a free starter plan is the honest beginner move.
- Estimates and a basic ledger travel with the invoice.
- Pro is cheap if you want bank import without jumping to Intuit money.
- Good enough until the freelance business is obviously a business.
Watch-outs
- Payment fees fund the free plan. Do the math on large invoices; ACH may be smarter.
- You will likely migrate later. Export before you are desperate.
- Client experience is plainer than FreshBooks or HoneyBook.
- Payroll, if you add it, is a different product decision.

- Reduces the five-tool dance (Docs + Sign + Calendar + Stripe + spreadsheet).
- Professional client portal without looking like accounting software.
- Sensible when the bottleneck is booking work, not posting journals.
Watch-outs
- Your CPA may still want QuickBooks or Xero for the year-end file.
- You can end up double-entering if you also keep a serious ledger.
- Overkill for a writer who sends a one-line invoice twice a month.
- Read payment fees on the current plan.

- If the money already settles in Stripe, do not insert another merchant of record.
- Programmatic invoices, hosted invoice pages, and a stack your engineer already understands.
- ACH and cards on the same customer object.
- Cleanest option for productized freelance work that is almost SaaS.
Watch-outs
- It will not replace a ledger. Pair with QuickBooks, Xero, or an accountant.
- Client-facing reminders and time tracking are thinner than FreshBooks.
- You are in the Stripe dashboard. That is a feature or a bug depending on the user.
- International fees and tax settings are your problem to configure correctly.

You picked QuickBooks only to send invoices. Wave or FreshBooks will feel less like a general ledger.
Why it ranks
- The invoice is a first-class accounting document, not a pretty PDF that you later retype.
- Payments can land and reconcile in the same product family.
- Best “invoicing tool” when the actual leak is the year-end file, not the send button.
- Simple Start is enough for many sole props who already decided on QuickBooks.
Watch-outs
- Heavier than the job if you only send invoices.
- Payments and payroll are extra.
- Client experience is less polished than FreshBooks.
- 2026 list prices are not 2024 list prices. Re-read the page.
How we picked
The job is send, remind, collect, and keep a record. We scored client experience, deposits/retainers, payment-fee transparency, and whether the tool can stand alone for a freelancer. We did not rank enterprise AR suites (Bill.com as a full AP/AR platform is a different buyer). Melio is useful for paying bills, not for sending freelance invoices, so it stays off this table.
