Best bookkeeping software for freelancers (2026)

Bookkeeping is a file a human can close, not a chatbot that “does taxes.” Software if you will categorize. Bench if you will not.

Freelance bookkeeping has one job: categorize the year so a CPA (or you, in April) is not reconstructing Gmail. Accounting software is the file. A bookkeeping service is a human on top of a file. Do not mix those jobs in your head.

This ranking is for US freelancers and single-member LLCs. It is adjacent to our accounting ranking on purpose: that page is “which ledger.” This page is “who keeps the books, and what they log into.” We are not ranking generative AI bookkeeping chatbots. Those stay on Aiacent.

You send a handful of invoices and will not open the file weekly. Start with Wave, or hire Bench and let them pick the ledger.

Why it ranks

  • The US bookkeeper and CPA network is the product. Switching later costs more than the subscription.
  • Bank feeds, receipts, and a close that survives an S-corp election.
  • Simple Start is enough for many sole proprietors who invoice and reconcile.
  • Same family as Workforce payroll if you hire.

Watch-outs

  • You still have to categorize. Software is not a bookkeeper.
  • List prices stepped in 2026. Your renewal may disagree with a 2025 post.
  • Payroll and payments are extra.
  • The UI is busier than FreshBooks. That is the trade for a real ledger.

  • Bank rec and the advisor network are why people stay.
  • Receipt capture is part of current US packaging.
  • Established adds multi-currency and projects.

Watch-outs

  • Early is a cap, not a forever plan, if you invoice weekly.
  • US payroll is usually Gusto next door, not a native twin.
  • October 1, 2026 US increase is on the public card.
  • If nobody in your life knows Xero, onboarding is on you.

Why it ranks

  • If the leak is unpaid invoices, the books get cleaner when the invoice product is the daily driver.
  • Client caps make the plan choice honest.
  • Time and expenses sit next to the bill — consultant bookkeeping in practice.
  • Good until a bookkeeper asks you to move the file.

Watch-outs

  • Shallower ledger than QBO or Xero.
  • Lite’s five-client cap arrives fast.
  • You can end up double-entering if you also keep QuickBooks.
  • Payments add-ons are extra.

  • Receipts, invoices, and a bank feed without Intuit money.
  • Pro is cheap when import is the leak.
  • Fine until a CPA appears.

Watch-outs

  • You will likely migrate. Export before tax season.
  • Payment fees fund the free plan.
  • Not the file most US CPAs prefer.
  • No one is watching the categories but you.

  • Someone else closes the month. That is the product.
  • P&L, balance sheet, and 1099 reporting are the deliverable, not a dashboard you ignore.
  • Useful when revenue is real and your hourly rate is higher than Bench’s month.
  • Tax-add packages exist if you want filing in the same vendor — still not a substitute for advice tailored to you.

Watch-outs

  • Hundreds per month vs tens for DIY software. Do the napkin math on your rate.
  • You still provide access, receipts, and answers. It is not magic.
  • Switching away means exporting someone else’s file.
  • “Tax deductible” marketing is not a deduction opinion. Ask a CPA.

How we picked

The job is a closeable freelance year: bank feed, categories, and a file a professional will open. We scored DIY vs service honesty, US CPA familiarity, published prices, and whether the product survives the first hire. Rank is not for sale.

Pilot and other startup bookkeeping firms can be right at venture scale. They are a different buyer than a freelancer. We left them off so this list stays short.
