Best accounting software for restaurants (2026)
A close that matches tips, sales tax, and payouts. A POS dashboard is not a general ledger.

Restaurant accounting fails when the POS, the processor, and the bank each tell a different story — and tips sit in a spreadsheet. The job is: map sales, tax, and tips to a file a CPA will open. Payroll is a sibling ranking. Inventory at the counter is another.
QuickBooks Online is the US default ledger. Xero wins when the advisor is already there. Toast and Square are POS families that export; they are not a replacement for a general ledger unless you like reconstructing December.

Skip if
Your bookkeeper is a Xero shop, or you only needed a $0 year-one file with no locations. Do not buy Advanced to look like a group.
Why it ranks
- The US accountant network is the product. Switching later costs more than the subscription.
- Plus can hold classes for bar vs kitchen or a second location.
- Toast and Square both speak QBO — the POS decision is separate.
- Same family as Workforce if you want payroll next door. We still prefer Gusto or POS payroll for most floors.
Watch-outs
- Simple Start is thin for two locations. Budget Essentials or Plus.
- A lump Square/Toast deposit will still lie without a mapping or a careful journal.
- Payroll and payments are extra subscriptions.
- List prices stepped in 2026. Your renewal may disagree with a 2025 post.

Why it ranks
- Unlimited users on published plans — owner, bookkeeper, tax preparer without a seat tax.
- Bank rec and Hubdoc-class receipt workflows are why people stay.
- Tracking categories can stand in for locations if you keep the chart honest.
- Pairs with Gusto when the POS is not the payday.
Watch-outs
- US payroll is not Workforce. Pair a payroll product.
- If every local CPA is QBO-only, you bought a conversion project.
- October 2026 US list step is real. Model the new card.
- POS connectors still need a human mapping tips and tax.

Toast

You are not on Toast. Buying Toast to get a P&L is how you finance a restaurant platform you did not need. A gift shop should leave.
Why it ranks
- Sales, tips, and labor already live here. That is the restaurant reason the owner opens Toast first.
- Useful as the operational P&L the GM believes.
- Exports exist so a CPA can still have QBO.
- Same family as Toast Payroll if that quote is already signed.
Watch-outs
- A POS report is not a tax return. Appoint a ledger.
- You cannot compare Toast “books” to QBO Plus without a quote.
- Switching POS to “save on accounting” is a renovation.

- The owner already lives in the dashboard. Daily sales are honest enough for a Tuesday huddle.
- A path into Square Payroll if hours come off the register.
- Exports to QBO/Xero exist — use them.
- Published processing you can put next to Toast’s quote.
Watch-outs
- A sales dashboard is not a general ledger.
- Tips, gift cards, and tax still need a mapping.
- Do not dual-stack Toast and Square “for reports.”
