How to choose auto repair shop software (2026)
Count logins, decide if texting is on the entry plan, and get the setup fee in writing. The demo’s average-RO slider is not a price.

The job
Shop software has to survive the counter: a vehicle, an inspection the customer can see, parts, an approval, and a payment on the same repair order. Payroll, the website, and a marketing suite can wait until that RO is real. This is the process. The ranked short list is best auto repair shop software.
It is for an independent US garage, not a dealer and not a mobile mechanic with a PDF invoice. Trades that dispatch vans belong on the home-services pages. Job costing is the sibling if you sell projects, not bays. We are not your bookkeeper. QuickBooks can stay the ledger.
Before you shop
- Count people who will log in this month, including the advisor and the tech with a tablet. Unlimited-user pricing and $20 seats are different companies.
- Decide whether two-way texting is required on day one. Several entry plans only one-way message.
- Name the accounting file. If it is QuickBooks Online, ask which tier includes the sync. If it is Desktop, ask what the connector costs.
- Ask for the setup and migration number before the demo. “Included onboarding” and “one-time fee” are both real phrases. Only one of them is a price.
- Ignore the ROI calculator. A slider that assumes a 22% or 30% bigger repair order is a sales tool. Your parts matrix might move the average. The software will not, by itself, on Monday.

Tekmetric Start is $199 a month or $179 billed annually, unlimited users, no long-term contract. Two-way texting is Scale: $439 or $409 annual. Shopmonkey Basic is $239 or $215 annual with 3 users and two-way text; extra users are $20, and QuickBooks Online is Clever at $399 or $359. AutoLeap Essentials shows $179 and $199, with $199 labeled billed monthly; Pro, where texting and QBO live, shows $349 billed monthly. A setup fee exists and is not priced on the page. Shop-Ware Startup is $279 a month billed annually; Pro, with unlimited texting and the MOTOR guide, is $389. Month-to-month Shop-Ware rates were not on that card.
The forks
- You want to leave without a contract, and more than three people need a login: Tekmetric. Buy Grow if you need the labor guide. Buy Scale if you need two-way text.
- Texting on the cheapest plan matters more than the fourth seat: Shopmonkey Basic, then add users at $20. Move to Clever when inventory, time clocks, or QBO are the actual leak.
- A rep is already in your office with AutoLeap: demand the setup fee, the device-login rule, and whether you are on Essentials or Pro. No trial means the demo is the only test. One login works on one device at a time, per their FAQ.
- You want unlimited users and you will pay for Pro: Shop-Ware at $389 annual. Do not buy the $999 website package because it was on the same page.
- You are a one-bay shop sending a few invoices: you may not need any of these. Contractor invoicing is cheaper. Revisit when the paper RO is the bottleneck.
Mistakes
- Comparing Start to a competitor’s texting tier and calling yourself thrifty.
- Adding a marketing product ($345 at Tekmetric, CRM Essentials at Shopmonkey) in the same signature as the shop system.
- Assuming card rates. Shopmonkey says call for processing. Tekmetric says ask about payment offers. Write the rate down.
- Running the old desktop DMS and the new cloud tool as two writable ROs. One is live. The other is history.
- Buying an AI receptionist because it was $99 on the pricing page. The phone is a separate decision.
- Forgetting payroll. The time clock in the shop system is not a tax deposit. Gusto or the payroll ranking still exists.
Pick this week
Write headcount, whether you text, and whether QBO sync is mandatory. That sentence picks the tier. Book one demo, not four. Ask them to build a canned job you actually sell and to show the approval the customer would tap. Get migration, payments, and any annual notice period on the order. Then turn off the old estimate pad on a Monday you chose, not in the middle of a Friday rush.
