The Etsy seller ops stack (2026)
An Etsy seller’s ops stack is a ledger that matches payouts, a business-named account, and a receipt habit. Listing copy is not this website.

The rule
This is an operations stack for a US Etsy shop — handmade, vintage, or print-on-demand — that is past “a hobby in a personal checking account.” It is not a craft or ads stack. We will not rank AI listing writers, photo generators, or SEO title bots. That catalog is Aiacent. If the leak is the product, leave. If the leak is Etsy payouts you cannot map and April in a shoebox, stay.
The default stack
- Books: Wave $0 if you will reconcile Sundays. QBO Simple Start $38 when a CPA appears or inventory hits the balance sheet. Xero Early $25 ($27 from October 1, 2026) if the advisor is Xero-fluent. See Best bookkeeping software for Etsy sellers.
- Banking: a business-named account. Found if you are self-employed and will use tax set-asides. Novo if you just need $0 checking next to Wave. See Found vs Novo and Best business banking for ecommerce.
- Expenses: the bank feed plus a receipt habit. Expensify or a shoebox scanner if volume is real. See Best expense tracking for gig workers if this is still a side hustle.
- Invoicing (wholesale or custom): Wave or FreshBooks $23 if Etsy is not the only rail. Stripe Invoicing if you already live in Stripe.
- Payroll: nothing until a W-2. Then Gusto Simple $49 + $6. Do not buy payday for your own owner draw without a CPA conversation.
- Payments out: Melio ACH for supplies if you have a stack of vendors. The personal card “for points” is how you donate 3%.
Payouts and books
Etsy deposits a lump. Fees and ads came out already. If you book the lump as “sales,” your income is a lie. Wave or QBO plus a connector (A2X, Synder — confirm a2xaccounting.com and synder.com) is how volume shops close. Year-one sellers can split the payout by hand if they will actually do it. Inventory is a tax and accounting question. Finished goods in a closet are not always a QBO Plus project. Ask a CPA before you buy $140/month because a thread said “you need inventory.” Simple Start plus a spreadsheet of SKUs is honest for many shops. Open the business account before the first wholesale invoice. Sales tax collection on Etsy is not the same as a filed return. We are not your sales-tax or income-tax advisor. What to skip
- An ERP or Cin7 because a podcast said inventory.
- AI listing and photo tools as a reason to ignore payouts. Aiacent.
- Four fintechs and a Venmo. Appoint one operating account.
- Gusto before you have a W-2.
- Bench at $199 for twelve orders a month if you will open Wave.
- Running the shop in a personal PayPal forever after you have an EIN.
