Best CRM for coaches (2026)

A coach needs a discovery call, a package, and a retainer that shows up. A generic sales cloud will not book the session.

Coach CRM fails when the lead is an Instagram DM, the proposal is a PDF, and the first payment is a Venmo with no contract. The job is: capture the inquiry, book a discovery call, send a package or retainer, collect a signature and a card, and remember who is in which cohort. This page is for US business coaches, career coaches, and small group-program studios — not wedding photographers and not clinical practices.

HoneyBook wins when the client file is the product. Dubsado wins if you will build the workflow yourself. HubSpot wins when you already send email from a free CRM and the “pipeline” is a content list plus a few calls. Pipedrive wins when two sellers actually work deals, not sessions.

Photographer CRM and wedding-planner CRM are the siblings if the product is a date on a calendar with a gallery or a venue. Solo-founder CRM is the sibling if you only needed a follow-up reminder. We will not rank AI coaching bots or copy tools. Those stay on Aiacent.

You only need a pipeline two closers will update, with no proposals. Pipedrive is the sales tool. Or you send two invoices a month and never schedule — FreshBooks is calmer.

  • Lead form, proposal, contract, invoice, and a client portal share one record — the package-coach job.
  • Essentials is the plan that includes the scheduler and the QBO integration. Starter does not.
  • Unlimited clients on every plan. You are not punished for a launch that adds a list.

Watch-outs

  • HoneyBook is not the ledger. Your CPA will still want QBO, Xero, or Wave.
  • Card fees on a $6,000 package are $162.10 at 2.7% + 10¢. ACH at 1.5% is $90. Model the one you will actually use.
  • AI features are listed on every plan. They are not why this ranks. Writing tools stay on Aiacent.
  • Premium at $109 is a team plan. A solo coach who buys it for “priority support” is overbuying.

You will not configure it. An empty Dubsado is a worse client experience than HoneyBook on its defaults.

Why it ranks

  • Premier is where scheduling, automated workflows, public proposals, and a bookkeeping integration show up. Starter stops earlier.
  • Questionnaires and portals match how coaches onboard a client after the discovery call.
  • A known alternative when HoneyBook’s defaults feel like a cage.
  • Unlimited projects and clients on both plans. The upgrade is workflow, not a contact cap.

Watch-outs

  • Setup is a week, not a Tuesday night. Budget it or do not start.
  • Starter at $335/year looks thrifty until you need the scheduler and buy Premier anyway.
  • Still not a general ledger. Connect the books; do not pretend the portal is a P&L.
  • Processing fees apply when you take cards. Read the current payments page.

Clients need a package, a contract, and a payment schedule that looks like a studio. HubSpot will not become HoneyBook. Stay off Marketing Hub Professional.

Why it ranks

  • A free contact record beats a spreadsheet when the “CRM” is newsletter plus a few calls.
  • Meeting links and email logging cover a solo coach who lives in the inbox.
  • You can add email later without a second list — if you appoint HubSpot as the only audience.
  • The right skip-if for a coach who is really a small media brand with a pipeline.

Watch-outs

  • Two systems (HoneyBook for clients, HubSpot for the list) is how people get double-emailed.
  • Professional hubs and marketing-contact math are how a $0 CRM becomes a surprise.
  • No native package-and-retainer studio flow. You will rebuild it.
  • Generative features are not a reason to upgrade. Leave that comparison to Aiacent.

You are a solo coach who sells three packages. You will pay per seat for a pipeline you could have run in HoneyBook or a free HubSpot.

Why it ranks

  • The deal pipeline is the UI. A two-person firm that sells retainers to companies will actually open it.
  • Growth is the plan that matters. Lite is how you “save” and then live in Gmail.
  • Published per-seat math. Two seats on Growth annual is $78/month.
  • Add-ons stay optional. You do not have to buy a marketing cloud to track a proposal.

Watch-outs

  • No durable free plan. The trial ends.
  • It will not send a coached onboarding questionnaire the way Dubsado will.
  • Contracts and payment schedules are not the product. You may still need a studio tool or a Stripe invoice.

How we picked

The job is a US coaching practice under ~50 people: an inquiry becomes a call, a package or retainer, and a payment with a record. We scored whether a non-implementer can finish setup, whether proposals and scheduling are included or a second app, and whether the public price is a studio plan or a per-seat sales CRM. Clinical EHRs, insurance billing, and course platforms that host video stay off. Rank is not for sale.
