A freelancer needs a ledger a CPA will open, invoices that get paid, and a bank feed that does not lie. Four products. No 20-tool dump.

Freelance accounting software has one job: keep a clean enough set of books that you can file, invoice, and answer a CPA without rebuilding the year in a spreadsheet. “AI that does your taxes” is not that job, and it is not this site.

We ranked products a US freelancer or single-member LLC can buy this week. The audience is writers, consultants, designers, and agency-of-one operators — not a 40-person controller team. If you later hire, the same ledger should survive the first employee. That is why Wave can win on price and still lose the rank.

You send a handful of invoices and want the books to be free. Start with Wave. Or if your accountant is a Xero shop, do not pick a fight.

Why it ranks

  • The US accountant network is the product. Switching away later is more expensive than the subscription.
  • Bank feeds, sales tax, 1099 tracking, and a close that survives an S-corp election.
  • Same family as Workforce payroll if you hire — one vendor, one login, fewer CSV nights.
  • Simple Start is enough for many sole proprietors who only need invoices and a basic P&L.

Watch-outs

  • List prices stepped up in 2026 on Essentials, Plus, and Advanced. Your renewal may differ from a blog post from 2025.
  • Users are capped by plan (1 / 3 / 5 / 25 on the current public ladder).
  • Payroll, payments, and time tracking are extra subscriptions.
  • The UI is busier than FreshBooks. That is the trade for a real ledger.

Your CPA will only log into QuickBooks and will charge you to re-learn Xero. Software cheapness dies on the first 1040 bill.

Why it ranks

  • Unlimited users on published plans, which matters the moment a bookkeeper and a founder share the file.
  • Bank reconciliation and the Xero advisor network are the reasons people stay.
  • Established adds multi-currency and projects — real jobs for consultants who invoice abroad.
  • Receipt capture (Hubdoc-class workflow) is part of the current US packaging.

Watch-outs

  • Early is a trial of the product, not a forever plan, if you invoice weekly.
  • US payroll is not a native Xero twin the way QuickBooks Workforce is; many US shops pair Xero with Gusto.
  • Price increase takes effect October 1, 2026 for US subscriptions.
  • If nobody in your life knows Xero, onboarding is on you.

You need inventory, a serious job-costing ledger, or a CPA who refuses anything but QuickBooks or Xero.

Why it ranks

  • Invoices, retainers, proposals, and late reminders are the center of the product — which is the freelance job.
  • Client caps on Lite/Plus make the upgrade path obvious instead of mysterious.
  • Less general-ledger theater than QuickBooks, which is a feature when you bill time.
  • Works as the whole freelance admin desk until a CPA asks for a more traditional file.

Watch-outs

  • Client limits, not feature poetry, decide your plan.
  • Accounting depth is thinner than QBO Plus or Xero Growing once you have inventory or job costing.
  • Payroll is an add-on, not a reason to pick FreshBooks over Gusto.
  • Promotional 90%-off months expire. Budget the list price.

Why it ranks

  • The free tier is real enough to send invoices and keep a basic set of books.
  • Honest starting point for a writer or designer testing whether the freelance business exists.
  • Pro adds automation (bank import, receipt scanning) without jumping to QuickBooks money.
  • Better than a shoebox. That is a higher bar than it sounds.

Watch-outs

  • You will likely migrate if you incorporate, hire, or add a bookkeeper who wants QBO or Xero.
  • Payment processing fees are how free invoicing stays free. Read them.
  • Support and accounting depth are not what you are paying $0 for.
  • Do not stay on Wave out of stubbornness after the books get real.

How we picked

We scored freelancer fit: invoices, bank feeds, sales tax, 1099/W-9 workflows, CPA familiarity, and whether the file survives an LLC or S-corp. Published US pricing and plan limits mattered more than a feature checklist. We did not rank desktop-only QuickBooks as a default for a new freelancer, and we did not rank “AI bookkeeping agents” as substitutes for a ledger.

QuickBooks Self-Employed is a lighter Intuit product than QuickBooks Online. If your tax person specifically wants Self-Employed, follow them. If they want a real company file, buy Online Simple Start or higher. Do not mix the two in your head.

The CPA rule

If you already pay a bookkeeper or CPA, ask which file they want to open. That answer outranks this table. Software you will not maintain, or that your accountant will recast every quarter, is a donation to the vendor.
