The freelance writer business stack (2026)

A writer’s business is invoices, a bank account that is not personal checking, and a file a CPA will open. The writing tools are a different website.

The rule

This is an operations stack, not a craft stack. We will not rank AI writing tools, grammar checkers, or “content OS” apps here. That catalog is Aiacent, on purpose, so the two sites do not cannibalize each other. If the leak is the draft, leave. If the leak is that clients pay late and your personal checking is a mess, stay.

The default stack

  • Invoices: Wave if you are starting, FreshBooks if clients and reminders are the job.
  • Ledger: Wave until a CPA appears; then QuickBooks Online Simple Start unless they are a Xero shop.
  • Banking: Mercury or Novo for a simple LLC; Relay if you will actually split taxes and owner pay into sub-accounts.
  • Payroll: Gusto only if you pay a W-2 (including your own S-corp salary). Otherwise skip.
  • CRM: HubSpot free if you have more than a dozen active clients or inbound leads. A dated spreadsheet is fine below that.
  • Contracts: HoneyBook if you sell packages with proposals; a lawyer-reviewed template plus e-sign if you do not need a client OS.

That is six logos too many if you are pre-revenue. Open the bank account and send invoices. Add the ledger when the year has numbers. Add Gusto when a paycheck exists. Resist the rest.

Get paid

Number every invoice. Take ACH for anything large enough that 2.9% hurts. Send reminders on a schedule, not when you feel brave. FreshBooks is built for that loop. Wave is free and good enough. Stripe Invoicing is correct if you already settle on Stripe. Do not invoice from a personal payment app and call it a system.

Retainers belong on a recurring invoice, not a handshake. Deposits belong on the estimate. Late fees belong in the contract you sent before the work started. Software cannot invent a boundary you did not write down.

Books and tax season

Connect the business bank feed. Categorize weekly, not in March. If quarterly estimates are a thing for you, that is a CPA conversation — we will not calculate them. QuickBooks Online is the US default file. Xero is the default if your bookkeeper says so. Wave is the default if the business is still a test.

1099s you issue, W-9s you collect, and sales tax you might owe are why a real ledger beats a folder of PDFs. None of this paragraph is tax advice. It is a list of reasons people buy software.

Banking

Form the LLC (or don’t — that is legal advice we will not give), then open a business-named account. Mercury if you want $0 monthly and free USD wires. Relay if you will park estimated taxes in their own checking account. Chase if you deposit checks at a branch. Update Stripe, PayPal, and your invoice tool the same day so money stops landing in personal checking.
