Xero vs Wave for freelancers in 2026

Pick Wave if you will reconcile a simple file at $0. Pick Xero if a bookkeeper already lives there or you need unlimited users. Do not fight a QuickBooks-only CPA for $25.

Verdict

Pick Wave if you are a US freelancer or sole prop who will open the file weekly, invoice a human-scale client list, and want a $0 general ledger. Pick Xero if your bookkeeper is already Xero-fluent, you need unlimited users on one file, or Early/Growing’s bank rec is worth $25–$55 because someone else will live in it. Do not pick Xero to look international. Do not pick Wave because it is free and then never categorize — that is how April becomes Bench.

Two jobs

Wave’s job is a $0 ledger and invoices. Pro is $19/month or $190/year for extras. Payments are processing. It is the year-one file on side-hustle bookkeeping, Etsy bookkeeping, and 1099 contractor accounting. It is not an HRIS, not payroll unless you verified a live US full-service SKU (see Gusto vs Wave payroll), and not a multi-currency controller desk.

Xero’s job is a real online ledger with an advisor network, Hubdoc-class receipt workflows, and unlimited users. US Early limits invoices and bills (20 and 5 per month). Growing is the freelancer-plus-bookkeeper plan that usually matters. Established is multi-currency and projects. Pair US payroll with Gusto — Xero is not Workforce. A CPA who only opens QuickBooks will bill you to re-learn Xero or ignore Wave. Software cheapness dies on the first 1040 invoice. Who should pick which

  • Side hustle, will reconcile Sundays: Wave.
  • Bookkeeper already in Xero: Xero Growing. Do not make them learn Wave to save $55.
  • CPA said QuickBooks: QBO. Not this fork.

Skip-ifs
