QuickBooks Online vs Desktop in 2026
Online wins when the CPA, the bank feed, and a second login matter. Desktop wins when you already live in a Windows file and will not migrate. Do not buy Desktop to “own it forever.”

Verdict
Pick QuickBooks Online if you are starting a file in 2026, your CPA already speaks QBO, or more than one person needs a login. Pick Desktop only if you already have a Windows company file, industry editions you actually use, or an accountant who will not touch Online — and you accept Intuit’s current Desktop subscription terms. Do not pick Desktop because a 2018 forum said you “own the license.” Do not pick QBO Advanced to look like a controller.

QuickBooks Online: Simple Start $38/month, Essentials $85, Plus $140, Advanced $340. New-customer 50% off for three months is commonly advertised. Payroll (Workforce) and Payments are extra. Confirm quickbooks.intuit.com/pricing/.
QuickBooks Desktop: Intuit sells Desktop as subscription SKUs (Pro Plus, Premier Plus, Enterprise) rather than a one-time disc you keep forever. Public annual stickers move by edition and promo. We will not freeze a stale “$299 forever” figure. Confirm quickbooks.intuit.com/desktop/ and the live cart. Payroll and support add-ons are extra on many Desktop paths.
- Twelve months of QBO Simple Start: $456 list before intros.
- Twelve months of QBO Plus: $1,680 list — the usual class/inventory plan.
- Desktop: write the live annual edition next to Plus. If the accountant fee to migrate exceeds a year of QBO, staying can be rational.
- Xero Growing is $55/month US until the October 1, 2026 list step — a third fork if the bookkeeper is already there.
File vs subscription
Online is a multi-user, bank-feed-first ledger a CPA can open without a Windows remote. Classes, projects, and inventory live on Plus. Unlimited users are not the QBO story — seats climb with the plan. That is why Xero still wins some three-human files. See QuickBooks vs Xero.
Desktop is a Windows-first company file with industry editions (contractor, nonprofit, manufacturing) some shops still need. Inventory and job costing can feel deeper in the editions you already configured. It is not a Mac-native product. It is not the default for a new LLC in 2026. Intuit’s sunset and subscription messaging has been the whole plot for years — read this year’s Desktop page, not a 2022 blog.
Who should pick which
- New file, US CPA, one or two logins: QBO Simple Start or Essentials.
- Classes, jobs, inventory: QBO Plus — or stay on Desktop if the file already works.
- Bookkeeper is Xero: do not start QBO to please a relative. See Xero vs QuickBooks Online.
- Existing Desktop file, accountant refuses Online: stay, and calendar the risk.
- Mac-only shop: QBO or Xero. Desktop is a Windows conversation.

Migration tools exist. They are a project. Do not convert mid-year without a close plan.
