Xero vs QuickBooks Online in 2026
Start from Xero if your advisor already lives there or you need unlimited users. Switch to QuickBooks only because the US labor market said so — not because a Super Bowl ad felt familiar.

Verdict
Pick Xero if a certified advisor will open the file, you want unlimited users without climbing a seat ladder, or multi-currency and bank rec are the weekly fire. Pick QuickBooks Online if the US CPA market is your constraint — which it is for most domestic LLCs. Do not pick Xero to be tasteful. Do not pick QBO Advanced to look like a brand.

Public US pricing as of September 20, 2026
Xero: Early $25, Growing $55, Established $90 per month. Xero’s update page says those become $27, $59, and $97 on October 1, 2026. Early limits you to 20 invoices and 5 bills per month. QuickBooks Online: Simple Start $38, Essentials $85, Plus $140, Advanced $340. User caps travel with the plan (1 / 3 / 5 / 25). 50% off three-month intros appear. Confirm quickbooks.intuit.com/pricing/.
- Invoice-light freelancer: Xero Early $25 vs QBO Simple Start $38.
- Steady LLC: Xero Growing $55 vs QBO Essentials $85 — and Xero does not charge a third seat.
- Inventory or projects: Xero Established $90 vs QBO Plus $140. Feature lists are not twins. Map the job.
- After October 1, 2026, raise every Xero figure in your model.
Users, payroll, and the close
Xero’s unlimited users are the quiet reason Growing wins a three-human file: founder, bookkeeper, tax preparer. QBO makes you climb to Essentials or Plus for seats. If three logins are the requirement, price the seats, not the logo.
US payroll: Xero shops commonly add Gusto. QBO wants Workforce. Native Workforce posting is the cleaner Intuit story. Gusto plus Xero is the common US Xero story. Who should pick which
- Advisor already on Xero: stay. Do not “standardize on QBO” for a blog.
- No CPA yet, US-only, first file: QBO Simple Start is the safer default — then read Is QuickBooks Online worth it.
- Multi-currency storefronts or overseas contractors: Xero Established before QBO Advanced money.
- Inventory on the balance sheet: QBO Plus or Xero Established plus a real inventory tool. Not Early. Not Wave.
- Invoices only: Wave or FreshBooks. This fight is a ledger fight.
Migrating later is a project. Bank feeds and history do not teleport. Pick as if you will still be here in 2028. We are not your accountant.
