Gusto vs QuickBooks Payroll (Workforce) in 2026
If you already live in QuickBooks, Workforce is the convenient payroll. If you want a published bill and a first-hire desk, Gusto is still the default.

Verdict
Pick Gusto if payroll is the product you are buying: first employees, benefits, 1099s, and a bill you can estimate without a sales call. Pick QuickBooks Workforce if the books already live in QuickBooks Online and you are willing to pay a higher per-employee fee to keep payday inside that file. Do not pick Workforce as your first business subscription “because we will do QuickBooks later.” That is how you buy two products and use one badly.
Intuit renamed Core / Premium / Elite to Workforce Payroll / Premium / Elite. If a 2024 blog post still says “Payroll Core,” it is the same ladder with new signs. Confirm names and prices on Intuit’s current product page.
Public pricing as of September 20, 2026
Gusto publishes Simple at $49 per month plus $6 per person, Plus at $80 plus $12, and Premium at $180 plus $22. Contractor Only is $35 plus $6 per contractor, with the base fee sometimes promoted to $0 for a limited time. Simple is the single-state plan. A second work state is the usual reason to land on Plus.
QuickBooks Workforce, on Intuit’s public product pages, lists Workforce Payroll at $50 per month plus $7 per employee, Workforce Premium at $88 plus $13, and Workforce Elite at $134 plus $17. New-customer 50% off the base fee for three months appears often. Introductory discounts typically do not cover per-employee fees, contractor fees, or state tax extras. You also need a QuickBooks Online subscription if you want the combined close — Simple Start is $38 per month on Intuit’s pricing page before promos.
- Five people, one state, Gusto Simple: $49 + $30 = $79/month.
- Five people, Workforce Payroll only: $50 + $35 = $85/month, plus whatever you pay for QuickBooks Online.
- Five people, Workforce + QBO Simple Start at list: $85 + $38 = $123/month before promos.
- Multi-state Gusto usually means Plus: $80 + $12 per person.
Taxes, filings, and states
Both products advertise full-service US payroll tax filings on their standard small-business plans. That is table stakes. The differences that bite are states, extras, and what happens when a filing goes wrong. Workforce Elite markets more white-glove tax help (Intuit publishes penalty-support language on payroll pages — read the current terms). Gusto Plus is the usual step when people work in more than one state. Neither product makes you a tax advisor, and neither page on Incacent is tax advice.
Contractors are not free on either side. Gusto bills the per-person rate in months you pay a contractor and offers a Contractor Only plan if you have no W-2s. Intuit charges contractor fees on Workforce; read the order form rather than assuming employees and 1099s share one bucket.
The ledger question
This is the only reason Workforce wins. If your CPA logs into QuickBooks every month, payroll journals that post themselves are worth the extra per-employee dollars. Gusto syncs to QuickBooks and Xero; a sync is not the same as native. Syncs break. Native posts are boring, which is what you want on payday.
If your ledger is Xero, do not buy Workforce to “keep options open.” Pair Xero with Gusto. If you have no ledger yet, buy Gusto and a ledger separately — see our freelancer accounting ranking — instead of letting payroll choose your general ledger by accident.
Who should pick which
- First hire, one state, no QBO file yet: Gusto Simple.
- Already on QBO, CPA in the file weekly: Workforce Payroll (or Premium if you need time tracking).
- Multi-state W-2s: Gusto Plus unless you are already standardized on Intuit.
- 1099-only shop: Gusto Contractor Only, not a full Workforce bundle.
- You need devices, app provisioning, and HRIS in one employee record: neither — get a Rippling quote.
Switching later is possible and unpleasant. If you are six months from an S-corp election or a second state, choose the product that still fits after that change. A weekend migration during a tax notice is the expensive version of this decision.
